Dimensional Inventory for accurate inventory control

Dimensional Inventory

Reduce waste, control job costs and increase production efficiency; That’s SMARTer.

Inventory is an asset and a significant investment.  It isn’t enough to simply keep low amounts of stock, because running out of stock can be as costly as maintaining too much inventory.  You need a responsive software solution that can constantly monitor and quickly react to events in your enterprise.  SMARTer Manager’s dimensional inventory ability empowers you to accurately control inventory through a sophisticated enhancement that tracks the various units of measure of any single inventory item. With unlimited dimensional unit definitions, SMARTer Manager provides the tool to reduce waste, control job costs and increase production efficiency.

SMARTer Manager’s dimensional inventory, which can be combined with Palm Computing © technology, returns unused or partially used items to stock, while automatically associating the returned item to the dimensionally correct item number.  In addition, all values for the material used in production are validated and update immediately, creating truly accurate job costing.

SMARTer Manager’s Inventory Wizard makes creating inventory items with dimensional options fast and easy.  The wizard will use the decrement length to create new inventory items for the drop table associated with the original purchased inventory unit.  For example, if the current item’s length is 8 feet and the decrement is 6 inches, then the wizard will create items with lengths of 7.5, 7, 6.5 feet.  One of the most important aspects of dimensional inventory control is visibility into exactly what quantity and dimensions of an item are actually available.

With SMARTer Manager’s powerful Inventory functionality, items with dimensional attributes can be viewed simultaneously.

Your Senators Need to Hear From You!

A Senate vote on the Patient Protection and Affordable Care Act is imminent. This legislation will impose unprecedented new costs on business, starting with hundreds of billions of dollars in new taxes.

Under this bill, it’s unlikely that you, as an employer, will be able to offer the same benefits you do now. In the end, it is employees who will feel the impact.

The NAM is urging Senators to vote no on the Patient Protection and Affordable Care Act and any legislation that will result in higher health care costs. It is critical that lawmakers enact a version of reform that reduces health care costs for manufacturers and improves the quality of care.

The NAM urges you to contact your Senators now to express your concern over the Patient Protection and Affordable Care Act.

Now is the time for action:

1) Please contact your Senators immediately and urge them to oppose the Patient Protection and Affordable Care Act. The NAM has prepared a sample communication for your use.  Please click here to contact your Senators now.

2) While it is important that every member of Congress hear from manufacturers on this important issue, we are especially encouraging members who have a constituent relationship with the following Senators to call, e-mail and/or fax them today:

Mark Begich (D-AK)

Blanch Lincoln (D-AR)

Mark Pryor (D-AR)

Joseph Lieberman (I-CT)

Michael Bennet (D-CO)

Thomas Carper (D-DE)

Roland Burris (D-IL)

Evan Bayh (D-IN)

Mary Landrieu (D-LA)

Susan Collins (R-ME)

Olympia Snowe (R-ME)

Jon Tester (D-MT)

Kay Hagan (D-NC)

Kent Conrad (D-ND)

Ben Nelson (D-NE)

Jeff Bingaman (D-NM)

Arlen Specter (D-PA)

Mark Warner (D-VA)

Jim Webb (D-VA)

New $460 BILLION SURTAX on small to mid-sized manufacturers

Almost 70% of all manufacturers are organized as “S” corporations or other flow-through types and pay income taxes at the same rate as individuals. The new surtax, and the tax increases that will go into affect in 2011 along with state and local taxes, could top tax rate for small manufacturers above 50% for most in the country.

A recent CNN poll, released Friday, November 6, shows that 53% of Americans are Opposed to the current health care plan; that’s an 18% increase in 5 months.  Nearly 6 in 10 Americans think the bill still needs work.

It seems that the current bill has passed the House and is now making it’s merry way to the Senate. From everything we have read,  here at SME Software, we don’t see how it could be a good thing for any small to mid-sized manufacturer and other small businesses.

NAM, National Association of Manufacturing, has released a commercial that will urge manufacturers to contact their public officials, Congressman and Senators, to STOP the current H.R. 3962.

We encourage each of you to take the action you see necessary to make sure your voice is heard.

Processing Pre-Payments in SMARTer Manager

Processing Pre-payments in SMARTer Manager

Method A:

1. Upon receipt of a prepayment, create a debit transaction in the checking account. Go to Accounting/Checkbooks/Checkbooks. Click on the Debits button and create a new debit. On the accounts distribution section, post the amount to your prepayments account. This will debit checking and credit the prepayments account.

2. Then create a Credit in the Accounts Receivable. Go to Accounting/Accounts Receivable/Invoices & Credit and add a new credit. The account code on the item is your prepayment account. Make sure to print the credit so it creates the appropriate journal entries.

3. Next, when you ship the item, it will create an invoice. This will debit AR and credit Sales.

4. Finally, payment of the invoice. Create a deposit. Apply the outstanding credit created in Step 2 to the invoice created in Step 3. This will debit checking and credit AR.

Step Account Debit Credit
1 Checking $100.00
1 Prepayment $100
2 A/R $100
2 Prepayment $100
3 A/R $1000
3 Sales $1000
4 Checking $900
4 A/R $900
Notes: Overall this is a very clean method. However, there is not a way to tie the initial debit transaction to a customer so tracing the payment could be a challenge. The prepayment is not reflected on the final invoice.

Method B:

1. Upon receipt of a prepayment, in Accounting/Accounts Receivable/Invoices and Credits, create a manual invoice for the prepayment. On the item, the account used is the prepayment account. This will debit AR and credit the prepayment account.

2. Create a deposit applying the prepayment to the invoice created in step 1. This will debit checking and credit AR.

3. Again go to Accounting/Accounts Receivable/Invoices and Credits and create a manual credit for the prepayment. Again, on the item, the account used is the prepayment account. This will credit AR and debit the prepayment account.

4. When you ship the item, it will create an invoice for the full amount. This will debit AR and credit Sales.

5. Finally, payment of the invoice. Create a deposit. Apply the outstanding credit created in Step 3 to the invoice created in Step 4. This deposit will debit checking and credit AR.

Step Account Debit Credit
1 A/R $100.00
1 Prepayment $100
2 Checking $100
2 A/R $100
3 Prepayment $100
3 A/R $100
4 A/R $1000
4 Sales $1000
5 Checking $900
5 A/R $900
Notes: Again, a fairly clean method. However, if you run a report on all invoices to a customer, you could overstate your sales to a customer. The prepayment is not reflected on the final invoice.

Method C:

(Note – Steps 1 and 2 could be replaced with Step 1 in Method A)

3. On the job, create a negative charge. In the account code field, use the prepayment account.

4. When you ship the item, it will create an invoice for the amount minus the negative charge. This will debit AR and the prepayment account and credit Sales.

5. Upon receipt of payment, create a deposit. This will credit AR and debit checking.

Step Account Debit Credit
1 A/R $100
1 Prepayment $100
2 Checking $100
2 A/R $100
3 A/R $900
3 Prepayment $100
3 Sales $1000
4 Checking $900
4 A/R $900
Notes: As the final invoice reflects the prepayment, if taxes are to be charged on this order, the use of this method may cause incorrect taxes to be charged as the system charges taxes on the invoice total AFTER the prepayment has been subtracted.
